This policy explains the information QueryDocs processes to provide document upload, conversion, summarization, chat, account, payment, support, and optional analytics features.

Information we process

• Account identifiers, name, and email when you sign in.
• An opaque anonymous-session identifier when you use the free service without signing in.
• Uploaded documents, OpenAI search indexes, document names, questions, responses, and optional chat images.
• Subscription status and Stripe customer/subscription identifiers. QueryDocs does not store full payment-card numbers.
• Security and operational data such as IP-derived rate-limit keys, request errors, and usage counters.
• Contact-form information, which is delivered to the support team through Discord.

How we use information

We use this information to operate and secure the service, convert and analyze documents, answer questions, enforce plan limits, manage subscriptions, provide support, prevent abuse, and meet legal obligations. Optional analytics and advertising processing occurs only after you grant consent through the privacy controls.

Service providers

Depending on the feature you use, information may be processed by Better Auth and Convex for authentication, application data, and file storage; Stripe for payments; OpenAI for AI processing; Gotenberg/LibreOffice for document conversion; Discord for support and operational notifications; and Vercel for hosting. With consent, PostHog, Google, Meta, Ahrefs, and Vercel analytics may also process usage data. These providers act under their own terms and data-processing commitments.

Retention

Anonymous documents, search indexes, and associated messages are scheduled for deletion after seven days. Signed-in documents and chats remain until you delete them or delete your account. Stored-file bearer links are invalidated when the underlying file is deleted and should not be shared. Payment and security records may be retained longer where required for fraud prevention, accounting, dispute resolution, or law.

Cookies and privacy choices

Essential cookies and browser storage support authentication, security, consent choices, and anonymous sessions. Optional analytics and advertising scripts are disabled until you allow them. You can change that choice at any time with the “Privacy settings” control.

Security

QueryDocs uses encrypted transport, private object storage, server-side ownership checks before disclosing file links, upload validation, and access controls. No online service can guarantee absolute security.

Your choices and rights

Signed-in users can export data and delete their account from the account page. You may also ask to access, correct, delete, restrict, or receive a copy of personal data, subject to applicable law and necessary identity verification.
